CANCELLATION POLICY
CANCELLATION BY CLIENT (YOU):

Cancellation policy is as follows:
We have to plan and commit to our activities and staffing well in advance of an event. To prevent losses to the charity from unfilled places, in the event of cancellation by you and subject to our discretion, you will have the following refund and transfer options, depending on the notice given:
Notice given (prior to retreat start date) / Refund or Transfer Available
Less than 2 weeks / No refund or transfer
2-6 weeks / 50% refund or transfer to another retreat plus a £50 admin fee
More than 6 weeks / Full refund less a £50 admin fee or transfer to another retreat plus a £50 admin fee
CANCELLATION BY TRACKS AND DALES CIC:
Whilst every attempt is made to ensure that planned activities take place as scheduled, Tracks and Dales CIC will notify you of cancellation as soon as possible if it is necessary due to dangerous and/or unsuitable conditions for the activity.
As a charity we require a minimum number of participants per event to be feasible, so we reserve the right to reschedule an event no less than 1 week before, with a full refund or free transfer to another activity provided. All our activities are reviewed a minimum of 2 weeks in advance when you will be notified if we are considering viability.
Tracks and Dales CIC cannot be held liable for any accommodation / travelling costs due to cancellation.
ALTERNATIVES:
While every reasonable effort will be made to run activities as planned, Tracks and Dales CIC reserves the right to make changes to the activity due to weather conditions, participant fitness or as a result of risk assessments on the day.
All participants should be aware that minor alterations to routes or timings may sometimes be necessary. No refund will be issued if the event or retreat is adapted or changed due to any of the above circumstances.
An example of a change of activity would be if the weather on the day would be deemed too unsafe to go ahead. If the original activity was outdoor rock climbing, then a similar alternative would be provided i.e., indoor rock climbing.
